How to work with the management team



The management office is where the entire officer works.  Each officer or executive (whatever the designated title) is responsible for one or two team.  This team responsible in maintain the building, garden, pool and the security of the estate. The teams who make sure all their area of care are in order and in well maintenance.

The SP and tenants needs to know that the Management work and processes is not easy by the normal standards.   Each issue will be study(depending on the management company, council, and SP), and every task can be complicated by the parties involves.  A simple repair often may be delayed and process through due diligence by all parties.  A simplify screening process must be adapt if management wants to get thing done efficiently.   This involves basic budget for the manager, maintenance,  and administration cost.  Otherwise,  the simple task of replacement a light bulb, buying a battery can be delayed until budget or approval are granted.  This may seem extremes but it is a norm in many estates.

·        Communication
·        Education
·        Follow up
·        Follow the StandardOperating Procedure (SOP)/KeyPerformance Indicator (KPI)
·        Team work
·        Manage by empowerment
·        Do not micro manage the team
·        Respect your team members
·        Respect the team members supervise under each officer


Additional Note:

When the team made a mistake it will ultimately end up to be Manager who takes responsibility.

Tendering under MCST

Tendering contract with service provider under MCST (another solution) Many estates carry on tendering out job to various vendors in affair of an annual ritual.  There are many reasons behind this episode that play out annually.  Every year, there are new council member and office bearer. Each year, this people feel the needs to outdo the last council and with believe that the new team can do better.  They believe the team will be able to save money, find a better vendor, hire harder working crew and better management.  The thought is noble and encouraging and that is why there will be tender almost every year and in most estates. What is encroachment under MCST

Anything outside of your unit and not own by the owner is consider encroachment.  It doesn't matter what other neighbor is doing nearby.  Legally, owner is liable when things happened when it is outside and it is encroaching into the common area. Example:  Clothing, Shoes, Rack, Paper, Boxes & etc Fire safety is always a concern with the fire department. Management is responsible when things happen and when it is not properly managed. Management is to give proper warning before removing as courtesy to the residents.  However, once it is remove then it will be the lost of the owner.  There will be no claim available.
